Point Of Sale
Products are sold at the correct selling price by using barcodes allowing customers to be served more efficiently. An electronic journal also keeps track of every sales transaction, refund, discount etc made on the till by each cashier. With the option for integrated chip and pin, this will reduce "human error" as the cashier does not have to manually key in the sale value unlike the conventional stand alone chip and pin terminals, and the card transaction will also be processed within 5 seconds and does not require a dedicated phone line..

SoftRegister Software Overview


SoftRegister is a 32Bit Microsoft Windows based stock control and point-of-sale EPoS solution developed in Microsoft Visual Basic using the powerfull and flexible Microsoft Access database. SoftRegister is fully compatible with Microsoft Windows 2000 Professional and Windows XP. It has been specifically designed to meet the needs of today’s modern retailer. The SoftRegister back office and point of sale software is compatible with our complete range of EPoS touch screen terminals, receipt printers, barcode scanners, customer displays and cash drawers. Point Of Sale Key Features

"Real Time" Stock Control
Products sold on the till are deducted from stock in "Real Time". This is a feature not found on most epos systems until and end of day of update process is done to each till.

Cashier Sign On
Sign on by either pin number, dallas key, magnetic card swipe or finger print recognition.

Barcode Scanning
Each product can have an unlimited number of barcodes with a unique price and qty for each for multi-packs, outer cases etc. All common barcode formats are supported such as EAN8, EAN13, UPC, Code39 and Interleave 2 of 5.

Manual Product Code
Each product can be assigned a manual code number of up to 20 alpha numerical characters.

Search By Description
Products can be searched on the till by any part of it's product description line 1.

Search By Filter
Products can also be searched by selecting a filter such as Group, Department, Sub Department, Type, Brand and Category.

"Hot Shot" Product Buttons With Pictures
Products can be assigned to a "hot shot" button that can have text and a graphical bitmap picture. Button are available in 3 different sizes, single, double and quad. Buttons are grouped on a "Page Number" and each page can be given a page menu name such as "Soft Drinks".

Serial Number Tracking & Warranty Expiry Dates
Products can be assigned to up to 4 different types of serial number tracking and can be given an "warranty period" in days. When the serial tracked product is sold it will ask for the corresponding serial numbers to be input or scanned and the till receipt or A4 invoice will print the serial numbers and the date that the warranty will expire.

If a serial tracked item is refunded, the till will ask for the serial number(s) to be scanned. The till will check the database for a record of the serial number(s) being sold and if found will display the date, time, branch, price of when the product was originally sold and when the warranty expires or if it has already expired. If a product is refunded and had multiple serial numbers, all serial numbers must match the database for when the product was sold. There is an option to override the refund of a serial tracked product if the serial number(s) cannot be found in the database. This would be where the item may have been sold previously to the SoftRegister system being installed. If you have multiple shops, all serial numbers from all shops will be transmitted to all other shops.

Customer Sales Database, Memberships And Accounts
SoftRegister can track customer sales and each main customer can have unlimited members attached to it. A customer can also be set as an "Account" customer and can be configured as a debit or credit account with the option to print an A4 invoice at the till or a receipt invoice. Customers can must be linked to a customer "type" such as "Standard" or "Account Customer". Each customer can also be linked to "Filters" for mailing purposes using the export to CVS file facility that is provided. Statements can be printed for a particular "type" of customers by calendar month/year using the balance forward system. Payments to accounts can be made in the backoffice or at the till.

AFD Postcode Database Integration
When creating a new customer on the till, you can input the postcode and the address details will be found and entered by using the optional  "AFD Post Code" integration software package.

A4 Invoice/Credit Note Printing
An A4 invoice/Credit Note can be printed for account or non account customers in either "VAT Add On" or "VAT Inclusive" mode.

View Customer Sales & Invoices
Customers sales and invoices/Credit Notes can be viewed or reprinted on any till.

VAT Inclusive Or VAT Add On Mode
SoftRegister support both vat add on and vat inclusive modes.

Auto "Low Stock Qty" Warning
Each product can be assigned a "Low Stock" qty warning level. When the product is sold, if the qty in stock reaches this level, a warning screen will display to the operator informing them it has reached the warning level and will display the amount of stock remaining for the product. This is a very usefull feature for popular items that you do not wish to run out of stock of!

Floating Cashiers
A cashier can sign off half way through a sales transaction so that another cashier can use the till and then the cashier can sign back on again and the till will display their transaction again. This is usefull if a customer walks away from the till to get something else they had forgotten.

Price Check & Stock Check
The retail price and stock level of a product can easily be checked. If you are part of a multi-site system, you can also check the stock availability in the other branches (this is based on the last communications with the head office).

Void Last Item, Void Item, Void Sale
Products can be easily voided and are recorded on the tills electronic journal.

Refunds With Reason Codes
Up to 9 preset reason codes can be configured such as "Damaged", "Faulty" etc. There is also an "open" reason code where the cashier can manually type in the reason for the refund. The reason will be printed on the till receipt.

Line Discounts & Price Override With Reason Codes
Line discounts can be done either by "Percentage" by "Value Off" or the price can be overridden with a "New Price". Up to 9 preset reason codes can be configured such as "Sale Item", "Reduced To Clear", "Staff Discount" etc. There is also an "open" reason code where the cashier can manually type in the reason for the line discount. The reason will be printed on the till receipt.

Global Discounts With Reason Codes
Global discounts can be done either by "Percentage" or by "Value Off". Up to 9 preset reason codes can be configured such as "Sales Item", "Reduced To Clear", "Staff Discount" etc. There is also an "open" reason code where the cashier can manually type in the reason for the global discount.

NoSale With Reason Code
NoSales will open the cash drawer and a reason can manually be entered.

Paid Out With Reason Codes
Up to 9 preset reason codes can be configured such as "Petty Cash", "Window Cleaner" etc. There is also an "open" reason code where the cashier can manually type in the reason for the paid out. The reason will be printed on the paid out receipt.

Paid In With Reason Codes
Up to 9 preset reason codes can be configured such as "Float", "Petty Cash Change" etc. There is also an "open" reason code where the cashier can manually type in the reason for the paid in. The reason will be printed on the paid in receipt.

Cash Lift
Used when doing a cash lift on the till. This will be printed as a separate total on the end of day X/Z Financial report.

Product "Free Text"
Up to 5 lines of 40 characters can be input after a product has been sold, which will print on the till receipt or A4 invoice. This is usefull for comments for a customer.

Operator Prompts
Product prompts can be automatically displayed when a product is sold to alert the cashier. For example "Must be over 18 years of age" or "Requires 4 AA Batteries"

Receipt & Invoice Prompts
Product prompts can be automatically printed on the till receipt or A4 invoice when a product is sold. This is usefully for warranty details or special recommendations about the product.

Product Accessories
When a product is sold it can be linked to a menu page that can display up to 20 accessory products. This is usefull for items such as a "Sony Walkman" that may require batteries or has the option for an extended warranty

Store Sale & Recall Sale
A sale can be stored and recalled at any point by any cashier from any till

View Previous Sales
Any sales transaction can be recalled and viewed.
Reprint Duplicate Sales Receipt Or Invoice/Credit Note
Any sales transaction can be recalled and a duplicate receipt or A4 invoice/credit note printed

Auto Sale Recovery
For example, in the event of a power failure half way through a sale, the till will automatically recall the sales transaction

"Standalone Mode"
The till can still continue to operate if the server is "offline". All products sold on the till will then automatically be updated when the server is back online again. This is a feature not found on many epos systems. Normally if the server goes "offline" the complete epos system will grind to a halt until the server is back online again

Electronic Journal With Search Facility
Each till has an electronic journal file held by date. This journal file can be printed or can be searched by text. For example, show every "Voided" item or every "Voided Sale" or "NoSale".

Cashier Function Permissions
Every till function is controlled by a "cashier permission". This then allows you to configure each of your cashiers individually for the functions they should only have access to, for example a Manager, Supervisor, Part Time staff member.

10 Methods Of Payment
Cash, Cheque, Credit Card, Account are set as standard and up to 6 addition methods of payment can be configured.

Optional Integrated Chip And Pin
SoftRegister can offer "Integrated" "Chip and Pin" authorisation via the YesPay EMBOSS service which is approved with Barclays, Natwest Streamline and HSBC.

End Of Day X & Z Reports
End of day X & Z reports are provided for "Financial Sales", "Group Sales", "Department Sales", "Products Sales" and "Cashier Sales".

Training Mode
A training mode is provided for training staff. Products sold on the till in training mode will not update the live system database.

Single Or Multiple Tills
